IMPORTANT:
If your item is reservable, serial controlled, lot controlled or negative balances are NOT allowed, you will not be able to ship an item when the inventory onhand or available balance is negative. This setup will also NOT work with Available to Order (ATO) items. ATO items require the item to be reservable. When an item is not reservable and Negative Balance are allowed, the Application will NOT validate or verify againts Available Quantity To Transact or Reserve.
A sales order can successfully issue quantity when inventory balances are already negative if the inventory controls indicate that negative balances ARE allowed, the item is not lot or serial controlled, the item is not reservable, and the item has Item
Transaction Defaults enabled. The item transaction defaults note what subinventory or locator from which the quantity will come because the pick release move order process will not actually perform any transaction. When you pick release, a move order will be created but when you attempt to transact the move order, the move order will immediately close because the item is not reservable and therefore cannot be committed to the sales order. At the time of sales order issue, the Trip Stop program will look at the Item Transaction Defaults to determine from where to source the item. This will not work for lot or serial controlled items because you must specifically note the lot and serial number to be used during the pick release process. If you have no onhand quantity, you will not be able to select a lot or serial number.
SUMMARY
In summary, the following setups are required to conduct sales orders for items with negative
onhand quantity:
1. The item must be non-reservable.
2. The item cannot be lot or serial controlled. It can be have no controls, revision control, or locator control.
3. The inventory organization must be flagged to Allow Negative Balances.
4. Item Transaction Defaults must be defined for the item indicating the subinventory and/or
locator from where the item should be pulled for shipping.

Notes on navigation:
1. To check if an item is NOT reservable:
Goto Inventory > Items > Master Items
Query the item
Goto the Inventory tab
Confirm the item is NOT reservable.
2. To check if an item is NOT serial or lot controlled:
Goto Inventory > Items > Master Items
Query the item
Goto the Inventory tab
Confirm the item is NOT serial or lot controlled.
3. To check the inventory organization's "Allow Negative Balance" flag:
Goto Inventory > Setup >Organization Parameters
Select the organization in question
The checkbox should be set Yes for allow negative balances.
** This note is not asking you to change the flag, just pointing out where it is. Changing the negative balances allowed flag could result in data corruption.
4. To check if the item transaction defaults are enabled:
Goto Inventory > Setup > Transactions > Item Transaction Defaults
Query the item and see if the subinventory or locator defaults are enabled
If not, the new button allows new defaults to be enabled. |
